What is Venn Diagram in Google Sheets?

Venn diagrams are made with overlapping circles, and they are commonly used to find how much different groups have in common. They are made up of two or more circles that overlap, and each circle represents a different dataset. Venn diagrams in Google Sheets can be used to compare the characteristics of different data sets at a glance. 

To draw a Venn diagram in Google Sheets, you first click the Insert Tab and select Drawing from the dropdown menu. Here, you go to the Shapes option and choose the circle to begin drawing your Venn diagram. You have different options to customize the circle, like making it transparent, adding text, etc. Thus, drawing a Venn diagram in Google sheets is easy and can be done in a jiffy.

For example, in the image above, we have a Venn diagram that represents the number of children who like strawberries, blueberries, or both. The circle in pink represents the children who like strawberries, while the one in blue represents those who love blueberries. The overlapping portion clearly shows the number of kids who like both, thereby helping us analyze the data quickly.

Now that we have seen how to draw Venn diagrams in Google Sheets let us look at some interesting examples. 

Example #1

In this example, we will show you how to make a Venn diagram with step-by-step precision. Here, let us assume that a TV station wants to compare the popularity of two television personalities using a sizable population. Let us call them Mr. A and Mrs. B. Now to draw a Venn diagram, you have to implement the following steps.

Step 1: Open a new Google sheet and go to the Insert tab. Click on the “Drawing” option from the drop-down menu. 

Step 2: Now, in the pop-up called Drawing that opens, select the “Shape” option.

Step 3: Choose the circle option and insert a circle in the drawing area. You can adjust the size and shape by dragging any of the small blue boxes shown by the green arrow below. 

Step 4: Now, depending on the number of datasets, your Venn diagram varies. Here, we are comparing just two personalities’ popularity. So, we need two circles. You can follow the same procedure as above or just copy-paste (Control C + Control V) the above circle to get another identical circle.

Step 5: Arrange them side by side to form a Venn diagram. Now, the boundaries of both circles should be visible to form a proper Venn diagram. Hence, click on the first circle and go to the option “Fill Color.”

Step 6: Once you click on the option, you get a color palette with different options like Solid and Gradient. Click on the “Transparent option.” The circle becomes transparent, with boundaries visible. Now, do the same for the other circle as well.

Step 7: Now, you can click on “Custom” and start adding your preferred colors at the preferred gradients. Let us now add colors where one circle represents Mr. A and the other represents Mrs. B.

Step 8: As you can see, the circles are not transparent, which is essential to view the overlapping area. To make it transparent, click on one of the circles and go to the “Fill color” option.

Step 9: Click on the Custom option.

Step 10: Here, you can adjust the Transparency option, as shown in the image below. Click OK. You have two overlapping transparent circles.

Step 11: Now, click on the Text Box option.

Step 12: Place the text box in the required part of the circle and type in the data.  

Step 13: Now, add the required text to both circles and the overlapping part as well.

Finally, click Save and Close, and your Venn diagram is added to the Google sheet.

And your Venn diagram is ready! It might look like there are many steps, but it is simple to master, and once you get a hold of it, you can create your own Venn diagrams to analyze data and get meaningful insights.

Now that we have learned to draw Venn diagrams in Google Sheets let us look at another Venn diagram that shows what each part represents in it. Consider three circles representing datasets A, B, and C.

Step 1: Add the three circles in the drawing area of the Google sheet and add appropriate colors as discussed in the example above. 

Step 2: To add the required text, click on the Text box and click it in the required circle. Type the text.

Step 3: Each area is marked with the region it represents.

Example #3

Now that we have drawn some basic Venn diagrams in Google sheet, let us proceed to add a few numbers for better understanding. There are 40 children in a class. Among them, 28 like Maths and 18 like science. Let us find out how many children like both Maths and Science. In Mathematical terms, when using Venn diagrams, we use the symbols U-Union and ∩ -Intersection.

So, to calculate the number of children who like both the subjects we have a standard formula:

n(A U B) = n(A) + n(B) – n(A ∩ B)

Here, n(A) = number who like maths = 28

          n(B) = number who like science = 18

   n(A U B) = total children in the class = 40. 

Now, let us represent the above in a Venn diagram. We have the data in the Google sheets as below.

Step 1: Draw the Venn diagrams with two circles representing Maths and Science, respectively, as stated in Example 1.

Step 2: Now, let us calculate the number of students who like both subjects in cell B5. Insert the formula:

=(B3+B4)-40 in B5. Press Enter. You get an answer of 6, i.e., 6 children like both subjects.

Step 3: Let us represent this in a Venn diagram. It makes it easier for us to understand and interpret the data as shown below.

Now that we have seen different types of Venn diagrams, let us delve deeper and look at how a Venn diagram can help you decipher the information. Suppose you want to know what DevOps is and what it comprises. For the uninitiated, it is the latest methodology in the SDLC (software development life cycle). To understand what it represents, rather than reading full-fledged about it in detail, a simple Venn diagram will help you understand immediately.

Step 1: Draw a Venn diagram as shown below. Here, the three circles represent development and quality assurance and combine them with operations that were not part of the SDLC before.

DevOps is a combination of all the different processes, such as operations, development, and QA.

One look at the diagram and you will understand that the collaborative sharing of responsibilities between different processes ensures smooth operations, thereby giving DevOps an advantage over previous methodologies.
